How to Reply to Google Reviews as a Dentist: Templates for Positive and Negative Reviews

A Google review isn't read only by the person who wrote it. Every patient comparing clinics reads it before they book. So your reply is really a message to future patients. A calm, professional reply to a negative review can win a new patient, while a defensive reply to a fair one can lose several.
Why reply to every review?
- New patients read the replies: they show how the clinic treats people when something goes wrong.
- Replies encourage more reviews: patients who see that the clinic reads and cares are more willing to write their own.
- Google recommends it: Business Profile guidance encourages businesses to reply to reviews to show customers they value them.
The privacy rule comes first
This is the most important rule for any medical or dental clinic: never confirm that the reviewer is your patient, and never mention their treatment, condition or appointments, even if they did. Medical confidentiality is a professional duty, and a public reply is not the place to discuss a case. In the United States, regulators have fined dental practices for revealing patient information in review replies.
Keep replies general: "We're sorry your experience wasn't what you deserved" rather than "We're sorry the crown we fitted on Tuesday caused you pain."
Templates for positive reviews
Short reply:
Thank you so much. We're delighted by your review and kind words, and we look forward to seeing you again at [clinic name].
Reply that mentions what they liked (without treatment details):
Thank you so much. Your words made the whole team's day. We'll pass your thanks to our reception team, who work hard to make every patient feel welcome. Wishing you good health.
Vary your wording. The same reply copied under every review looks automated to anyone reading them.
Templates for mixed reviews
A three-star review usually holds praise and a complaint. Thank them for the positive, acknowledge the issue and invite contact:
Thank you for your review and honest feedback. We're sorry about the wait and are working to schedule appointments better. Please contact us on [clinic phone] so we can make your next visit better.
How to reply to negative reviews
- Wait before you write: never reply angry. Read the review, check internally what happened, then reply within 24 to 48 hours.
- Apologise for the experience, not the accusation: "We're sorry your experience wasn't what you deserved" shows respect without admitting clinical fault.
- Don't argue in public: even if the review is inaccurate, readers judge your tone, not the details of the dispute.
- Take it offline: ask the reviewer to contact the clinic by phone.
- Keep it short: three or four sentences are enough.
Ready template:
We're sorry your experience wasn't what you deserved. How our team treats patients matters a great deal to us, and we'll look into what happened. To protect your privacy we can't discuss any details here, so please contact us directly on [clinic phone] so we can listen and find the right solution.
To save time, paste any review into the free Google Review Reply Generator. You'll get three ready replies in English or Arabic, matched to the star rating and what the review is about.
What never to write in a reply
- Any detail about the patient's treatment, condition or appointments.
- Accusing the reviewer of lying or of being a competitor.
- Offering a discount or gift for changing or removing the review. It breaks Google's policies.
- Long explanations of clinical procedures.
If a review is abusive, fake or from someone who never visited, report it from your Business Profile instead of replying in anger.
Frequently asked questions
Should I reply to star-only reviews with no text?
Yes. A short thank-you is enough. Replying to every review shows the clinic consistently follows what patients say.
Can I delete a negative review?
A clinic can't delete reviews itself. You can report a review that breaks Google's policies, such as abusive or fake content. For a genuine negative review, the best remedy is a professional reply and new reviews from happy patients.
Who should write review replies at the clinic?
Ideally the dentist or practice manager, or a trained team member who follows the privacy rules. Ready templates keep replies consistent whoever writes them.
